Acceptable Use Policy

This policy sets out the rules for using the BrieXO platform.

1. Scope

This Acceptable Use Policy applies to all users of the BrieXO platform, whether you access the platform as an administrator, a member of a Customer's workspace, or otherwise on a Customer's behalf. It is incorporated by reference into, and forms part of, our Terms of Service, and the same defined terms apply.

If you breach this policy, we may suspend or terminate your access to the platform in accordance with section 9 (Suspension and termination) of the Terms of Service.

2. You must not

When using the platform, you must not:

  • break the law or infringe the rights of any other person, including intellectual property, privacy, or confidentiality rights;
  • upload, transmit, or introduce malware, or attempt to breach, probe, or overload the security or infrastructure of the platform;
  • access, or attempt to access, another Customer's tenant, workspace, or data without authorisation;
  • scrape, crawl, or bulk-extract data from the platform other than through the export features we provide for that purpose;
  • resell, sublicense, or white-label the platform or access to it without our prior written agreement; or
  • misrepresent your identity, or misrepresent that you have authority to act on behalf of a Customer or other person, when using the platform.

3. Data you upload

Only upload personal data, documents, or evidence that you or your company have the right to process and share. Do not falsify, backdate, or fabricate competence or compliance records — the integrity of evidence records is fundamental to the service.

You must not upload special-category data (as defined in UK GDPR) beyond what is reasonably required for the purpose for which you are using the platform, and you must not upload data relating to children.

4. AI features

You must not use the platform's AI-assisted features (provided under the name XO Intelligence) to generate unlawful, infringing, or misleading content, or to process or submit data that you have no right to process.

Outputs from AI-assisted features are assistive only and must be reviewed by a competent person before being relied on, in line with the human review obligation set out in section 6 (AI features) of the Terms of Service.

5. Reporting abuse

If you become aware of a breach of this policy, or of any misuse of the platform, please report it to support@briexo.com. We may investigate reported breaches and preserve relevant evidence as needed to support that investigation.
